Information for Clubs and Associations on Organizing Festivals

The following application must be submitted in advance to the Public Order Office of the respective city or municipality:

• Possible shortening of curfew hours (for public events lasting past midnight)

Any planned use of music must be registered with GEMA in advance. Once you have paid the required royalties, you will hold a GEMA license authorizing you to use the music legally. Provide the local fire department, emergency medical services, and the relevant police station with advance notice of your event so that the emergency response chain is maintained in case of an emergency and first aid can be provided. If necessary, you can also consult with them regarding matters such as fire safety or access for emergency vehicles.

When organizing events, the organizer is required by law to ensure that the legal requirements for the protection of minors are implemented at the event—from planning through to execution. If any violations of the Youth Protection Act are detected, the organizer will be held accountable.

Therefore, please take the time to learn about your obligations regarding the protection of minors and to take the appropriate precautions at your event.

If food is sold and consumed at an event (e.g., a hot dog stand, a cake counter, etc.), hygiene requirements must be observed. For more information, please contact the district health department.

Please note that certain additives in food and beverages (e.g., flavor enhancers, antioxidants, preservatives, color additives) must be labeled, especially when the food is homemade (e.g., cakes and pies).
